Stage 1. Initial Consultation and Verification of Address Legal Suitability

Notary's actions:

1. advises on legal requirements for KRS/Tax Office addresses (which documents are needed to prove address usage rights);
2. reviews existing documents: lease agreement, power of attorney for mail reception, virtual office service contract; if incomplete, specifies which documents need preparation.

Stage 2. Preparation and Execution of Contract Between Client and Virtual Office Provider (or Confirmation of Address Rights)

Notary's actions:

1. signature certification (poświadczenie podpisu) on the contract or power of attorney (pełnomocnictwo); notary verifies identity, records signature;
2. if required - preparation/recording and certification of use/lease agreement as proper evidence of address rights (if party wants notarized document proving legal title or owner's consent);
3. preparation of power of attorney (pełnomocnictwo) for provider's representative to receive correspondence - in form required by client/authorities.

Stage 3. Registration/Update of Address in Registers (KRS / CEIDG / Tax Office / GUS)

Notary's actions:

1. if registering/changing company address in standard mode - preparation and signing of foundation act/resolution (if required) and signature certification; notary formally authenticates documents, issues notarial act number to be included in KRS application;
2. in case of address change - notary may prepare protocol/act of registered office change (if required by company articles) and certify signatures of authorized persons;
3. at client's request - providing act copy/assistance with submitting documents to registration court (sometimes notary forwards documents or provides complete set for electronic application).

Stage 4. Operational Services: Receiving, Storing and Issuing Correspondence; Preparing Powers of Attorney for Representatives

Notary's actions:

1. preparation and certification of power of attorney (signature and identity verification) for provider's employees to receive/open correspondence; if needed - preparation of power of attorney for representation before authorities;
2. certification of document custody protocol (if documents are deposited with the notary for safekeeping) - the notary may prepare a custody acceptance protocol;
3. issuance of notarized copies of important documents (e.g. for requests from authorities/banks).

Stage 5. Provision of Additional Legal Services / Representation Before Authorities

Notary's actions:

1. preparation and certification of documents requested by offices (e.g., owner's declaration on the right of use), certified powers of attorney for representation before authorities;
2. issuance of notarial copies for attachment to official correspondence;
3. (if necessary) preparation of an act confirming specific circumstances - for example, that the property owner has consented to the use of the address as the registered office of multiple companies.

Timeframe: depends on the type of authority request - from several days.
Estimated cost: depends on the volume of documents - from several dozen to several hundred PLN (certifications/copies/fees).
